GPS clock-in reports ready for payroll and invoicing

GPS clock-in is only valuable if it becomes usable. ChronoTrack automatically turns every GPS clock-in into hours aggregated per employee and per client, with Excel export - to prepare payroll and invoice without ever re-entering data.

All your hours, aggregated automatically

From GPS clock-ins, ChronoTrack computes hours per employee and per client over the period of your choice. No more paper sheets to compile at month-end: the report is ready in two clicks.

Anomalies highlighted

Out-of-perimeter clock-ins, lateness and absences compared to the schedule: gaps are identified so you can act fast. The return on investment is often immediate from the first month.

Excel export, no re-keying

Each report exports to XLSX, directly usable by your payroll software or your accountant. You save hours every month and eliminate copy errors.

The real cost of an approximate hour count

In service companies, preparing payroll and invoicing often takes several days a month: collecting timesheets, deciphering handwriting, chasing those who handed nothing in, re-entering into a spreadsheet, fixing calculation errors. This time is invisible because it is spread out, but it adds up to weeks over the year.

The second cost is more discreet: hours worked but never invoiced, for lack of proof at invoicing time. They don't appear on any dashboard, and yet they come straight out of your margin.

“I already have payroll software”

ChronoTrack does not replace it. It produces what it lacks: reliable hours, already totaled per employee and per period, exportable to Excel. You get a file ready to be imported into your payroll tool or sent to your accountant, with no intermediate re-entry.

“Travel time skews all my calculations”

It is a point many tools ignore. You set a travel time per site, and it is credited to the employee without being charged to the client. Reports therefore explicitly distinguish three values: time spent on site, credited travel, and the total owed to the staff member.

The consequence is direct: payroll accounts for travel, client invoicing only counts the service, and you stop arbitrating between the two by hand.

“How do I know if someone changed a clock-in?”

Every manual correction keeps the original time. The corrected clock-in shows the name of the person who changed it, and the details show the value before and after. If a clock-in is corrected several times, the very first value is kept.

You keep the flexibility you need - a staff member forgets to clock out, it happens - without losing the traceability that gives the whole thing its value.

“I want to see anomalies, not reread every clock-in”

A dedicated tab groups what deserves your attention: out-of-perimeter clock-ins with the distance measured, abnormally short or long durations, clock-ins with no departure, and lateness or absences compared with the planned schedule. You handle a list of exceptions instead of scrolling through a full history.

Three views of the same data

The same clock-ins can be viewed by employee - for payroll and contracted hours -, by client - for invoicing and checking contracted volume - and by period, to compare month to month. Each view exports to Excel and clock-in details can be printed, which is usually enough to settle a client dispute.

This reliability rests entirely on the quality of data collection: it is the GPS perimeter check at clock-in that makes the difference between a self-reported record and data that holds up.

New: payroll exports and proof of service

From the Clock-ins page, the “Export” button outputs every clock-in of the filtered period as a PDF, an Excel file (detail and totals per employee), a CSV or an hours file per payroll ID for import into Silae. Each employee's payroll ID is included in every export.

An agent forgot to clock in? The manager adds the clock-in on their behalf. The entry is marked as manual, with its author, date and reason: nothing is changed silently.

The visit report complements the clock-in when your client asks for proof: before and after photos, a note, and the client's signature on the agent's phone or a “client absent” mention. The time-stamped PDF can be downloaded from the Visit reports tab.

As for personal data, the GPS position of a clock-in is erased automatically after 12 months; the hours remain available for your reports.

Clock-in reports, explained

Yes. All reports export to Excel (XLSX) in two clicks: hours per employee, hours per client, clock-in details and anomalies. It's directly usable to prepare payroll and invoicing, without re-keying.
Yes. You get total hours per employee and per client over the period of your choice, which lets you bill each client fairly and track the profitability of your contracts.
Yes. The travel time set per client is credited to employees in their hours calculation, while staying separate from the time billed to clients. Reports show on-site time, credited travel and the agent total.
