Organize who works where and when, on a clear weekly grid. Drag and drop, week copy, recurring slots and automatic alerts: ChronoTrack scheduling saves managers hours and connects directly to GPS clock-in.
Each row is an employee, each column a day. You create a slot by clicking a cell, and move it with a simple drag and drop from one day or agent to another. Each client has its own color, for instant reading.
The schedule automatically compares against actual clock-ins to detect lateness and absences, and syncs with leave: you cannot schedule an absent employee. After a clock-out, the app can even suggest the next intervention and launch navigation.
ChronoTrack compares the schedule against each client's contract and each employee's contractual hours, and flags gaps before they turn into disputes.
That is exactly why drag and drop exists: moving an intervention from one staff member to another, or from one day to the next, takes a second and requires no re-entry. Last-minute absences are the most common case - when a staff member is marked absent, the schedule prevents you from assigning them and you immediately see which slots to reassign.
The goal is not a rigid schedule, but one that can be corrected faster than a spreadsheet shared between three people.
It is common in cleaning as in maintenance: some sites are visited every other week. Week copy lets you choose the source - the previous week or the one two weeks back - and shows each one's parity, so you don't duplicate the wrong one. Before confirming, a summary tells you how many interventions will be copied and which will be skipped because the staff member is on leave.
The notes you add to a slot stay internal - they are not shared with employees. On the other hand, at the end of an intervention, the staff member who has just clocked out sees their next intervention of the day, with the address and a button that launches GPS navigation directly. They have nothing to look up or ask.
Two alerts run continuously. The first compares what is scheduled with each client's contract and distinguishes under-scheduling - you invoice hours you don't deliver - from over-scheduling, which eats into your margin. The second compares each staff member's scheduled hours, travel time included, with their contracted hours.
Both can be checked in one click from the schedule's action bar, week by week, without waiting for month-end closing.
A schedule that lives in a spreadsheet is a dead document: it says what was planned, never what actually happened. Here, planned and actual are compared automatically, and the gaps feed directly into hour reports exportable to Excel.
In practice, the same data is used three times: to organize the week, to check that interventions really took place thanks to QR code clock-in without an app, and then to produce hours for payroll and client invoicing. That is what eliminates double entry at the end of the month.
One click on “Send by email” and each agent receives the week's schedule, with the address of every site. If you change a shift afterwards, the agents concerned receive a single summary (new, changed, cancelled) a few minutes after your last change, rather than one email per change.
You can also schedule a whole team in one go: the shift is created for each member, those on leave are skipped, and a PDF schedule per team prints in one click.
On the client side, the visit reminder emails the site contacts 24 h, 48 h, 72 h or a week before the visit, with your logo. Access prepared and a contact informed mean trips that are no longer wasted.
